About the Role

We are seeking a professional, well-organized, and patient-centric Receptionist cum Admin Executive for the corporate office of a reputed IVF center based in Thane West. The ideal candidate will be the first point of contact for patients, doctors, vendors, and corporate visitors while also managing administrative coordination to ensure smooth office operations.

This role requires excellent communication skills, empathy, confidentiality, and strong administrative abilities.

Key Responsibilities

Front Desk & Patient Handling

· Greet and attend patients, visitors, doctors, and corporate guests professionally.

· Handle incoming calls, emails, and appointment scheduling.

· Coordinate patient appointments, follow-ups, and reminders.

· Maintain reception area discipline and hygiene.

· Manage patient records, registration forms, and documentation.

· Guide patients regarding consultation process, billing desk, and required documentation.

Administrative Support

· Provide administrative support to management and medical teams.

· Maintain and organize physical and digital records.

· Coordinate with different departments (clinical, billing, HR, operations).

· Handle courier, vendor coordination, and office supplies procurement.

· Prepare basic reports, maintain attendance records, and assist in MIS documentation.

· Ensure compliance with office policies and confidentiality standards.

Travel & Coordination Responsibilities

· Arrange domestic travel bookings (flight/train/bus) for doctors and management.

· Coordinate hotel bookings and local transportation.

· Prepare travel itineraries and share schedules in advance.

· Maintain travel expense records and coordinate reimbursements with accounts.

· Liaise with travel agencies and ensure cost-effective booking options.

· Handle last-minute travel changes and urgent coordination efficiently.
