About the Role
UBALL SERVICES PRIVATE LIMITED is looking for a responsible, organized, trustworthy, and proactive Personal Secretary / Personal Assistant to the Managing Director to support the Director in managing daily professional activities, personal assistance, administrative responsibilities, business communication, scheduling, and coordination.
The ideal candidate should be well-mannered, disciplined, presentable, and capable of managing multiple responsibilities with efficiency. This role requires someone who can work closely with the Director, maintain confidentiality, and provide reliable support in both professional and personal matters whenever required.

Key Responsibilities
1. Personal & Professional Assistance to the Director
- Manage the Director’s daily schedule, appointments, meetings, and reminders.
- Provide assistance with both professional and personal tasks as assigned by the Director.
- Coordinate and follow up on important business activities, deadlines, and commitments.
- Assist in organizing professional meetings, personal appointments, and daily activities.
- Coordinate with clients, employees, vendors, and business associates on behalf of the Director.
- Maintain complete confidentiality of the Director’s personal and professional information.
- Be available for professional and personal meetings, coordination, and assistance whenever required.
2. Professional & Personal Meetings
- The candidate should be comfortable accompanying or assisting the Director for professional and personal meetings whenever required.
- Willingness to attend or coordinate meetings outside the regular office routine, based on the Director’s requirements.
- Expected frequency: Approximately 2–4 additional meetings per month, whenever required.
- Assist with meeting schedules, travel coordination, reminders, and follow-ups.
- Maintain a professional attitude and appropriate conduct during all meetings and interactions.
3. Office Administration & Front Desk
- Welcome and assist guests, clients, and visitors professionally.
- Answer, screen, and forward phone calls and messages.
- Manage incoming and outgoing mail, courier, and deliveries.
- Maintain a clean, organized, and presentable office environment.
- Maintain office records, files, documents, and stationery supplies.
4. Communication & Coordination
- Draft and send professional emails, WhatsApp messages, and basic business communications.
- Coordinate with employees and team members regarding assigned tasks.
- Follow up on pending work and provide timely updates to the Director.
- Schedule meetings and maintain a calendar of important appointments.
- Assist in arranging official travel, appointments, and other requirements.
5. Documentation & Reporting
- Maintain daily activity records, schedules, and important documents.
- Assist with MS Word, Excel, Google Sheets, and other office tools.
- Prepare basic reports, lists, presentations, and business documents.
- Perform filing, scanning, printing, photocopying, and other administrative tasks.
6. Business Operations Support
- Support the Director in day-to-day business activities and special assignments.
- Assist in coordinating company meetings, events, and business activities.
- Take initiative to identify pending tasks and ensure timely completion.
- Perform other reasonable professional and administrative duties assigned by the Director.
Candidate Requirements
- Minimum qualification: Below 10th / 10th Pass / 12th Pass / Graduate.
- Experience: 0–5 years. Freshers with the right attitude may apply.
- Good written and verbal communication skills in Hindi and basic English.
- Basic knowledge of Microsoft Office, Google Workspace, and office administration.
- Strong organizational, multitasking, and time-management skills.
- Ability to prioritize tasks and manage multiple responsibilities.
- Professional appearance, polite behavior, and positive attitude.
- Must be responsible, punctual, reliable, and willing to learn.
- Ability to maintain confidentiality and handle sensitive information.
- Comfortable working closely with the Director.
- Willingness to handle both professional and personal assistance responsibilities as required.
- Flexible and comfortable attending or coordinating 2–4 additional professional/personal meetings per month whenever required.
- Should be comfortable with occasional work-related travel or meetings outside the office, as mutually discussed.

Salary & Growth Opportunities
In-Hand Salary: ₹12,000 – ₹28,000 per month
