Role Purpose
The Senior Executive – Front Office / Reception will be the first point of contact for employees, customers, visitors, candidates and business partners. The role will be responsible for maintaining a professional and welcoming front-office environment while managing reception, calls, visitor coordination, meeting-room support and day-to-day administrative activities.
Key Responsibilities
Front Office & Visitor Management
Manage the reception desk and ensure a professional and welcoming front-office experience.
Receive and direct visitors, clients, candidates, vendors and senior stakeholders appropriately.
Maintain visitor records and issue visitor passes as required.
Coordinate visitor access with Security and Administration teams.
Manage meeting-room arrangements, visitor seating, refreshments and other meeting requirements.
Calls, Communication & Coordination
Handle incoming calls professionally and connect callers to the appropriate person or department.
Manage general enquiries and provide accurate information.
Coordinate courier, dispatch, incoming documents and other front-office communication requirements.
Maintain professional email and communication etiquette.
Administration Support
Support day-to-day office administration and front-office activities.
Ensure meeting rooms, reception areas, stationery and front-office supplies are maintained properly.
Coordinate with housekeeping, security, facility and other service partners.
Maintain front-office records, registers, trackers and basic MIS accurately.
Support employee engagement activities, leadership meetings, townhalls and corporate events.
Executive Presence & Employee Experience
Represent S&P Foundation professionally and create a positive first impression for visitors and stakeholders.
Maintain excellent grooming, professional etiquette, courtesy and composure.
Handle multiple requests simultaneously while maintaining service quality.
Maintain confidentiality when handling sensitive information.
Identify front-office process gaps and suggest practical improvements.

Ideal Candidate Profile
3–6 years of relevant experience in Front Office, Reception, Guest Relations, Executive Assistance or Corporate Administration.
Experience in a professional corporate environment; Real Estate / Construction industry exposure is preferred.
Excellent spoken English and professional communication skills.
Tamil language knowledge will be an advantage.
Pleasant, confident and polished personality with strong executive presence.
Strong customer-service orientation and ability to interact comfortably with senior leaders, clients and visitors.
Good working knowledge of MS Office, email and basic office systems.
Highly organised, punctual, discreet and capable of handling multiple priorities.
