Job Summary
The Front Office & Administration Executive will be responsible for maintaining a professional, disciplined, and welcoming reception environment for all tenants, clients, and visitors. The role requires a visible presence at the reception area to ensure common areas remain orderly, prevent unnecessary loitering or crowding, and uphold the corporate image of the building while coordinating day-to-day administrative and facility operations.
Key Responsibilities
• Maintain a professional, clean, and well-organized reception area at all times.
• Ensure the reception and common areas remain free from unnecessary gathering, loitering, excessive phone conversations, or any activity that may disrupt the professional environment.
• Politely but firmly enforce building discipline and etiquette in reception and common areas.
• Maintain a visible presence at the reception desk to assist tenants, visitors, and prospective clients, creating a welcoming first impression.
• Manage the visitor register and ensure proper visitor entry and exit procedures are followed.
• Coordinate with the facility, housekeeping, and security teams to ensure smooth day-to-day building operations.
• Conduct periodic rounds of common areas and report or address any issues affecting the building’s appearance or professionalism.
• Monitor cleanliness and report maintenance issues for prompt resolution.
• Assist in maintaining administrative records and reports.
• Report safety concerns and coordinate with relevant teams to support emergency preparedness.
Qualifications
• Graduate in any discipline.
• 2–5 years of experience in Administration, Front Office, Facility Management, or Customer Service.
• Strong interpersonal and communication skills with the confidence to interact courteously yet assertively with tenants and visitors.
• Well-groomed, professional in appearance, and capable of representing the building at the front desk.
• Working knowledge of MS Office.
