A Payroll & Compliance Specialist ensures employees are paid accurately and on time while adhering to all federal, state, and local laws, handling tasks like data entry, tax calculations, benefit deductions, audits, reporting, and resolving discrepancies, working closely with HR/Finance to maintain compliant payroll systems.
Key Responsibilities:
Payroll Processing: Accurately process multi-state payroll, including wages, bonuses, overtime, and leave payments (sick, vacation, etc.).
Compliance: Ensure adherence to all tax laws (federal, state, local), labor regulations, and company policies; manage tax filings (quarterly/annual) and respond to agency notices.
Record Management: Maintain employee payroll records, timekeeping data, and master files, ensuring data integrity.
Deductions & Adjustments: Administer benefit deductions, garnishments, and manage payroll adjustments like retroactive pay.
Employee Support: Act as a point of contact for employee payroll inquiries and resolve issues professionally.
Reporting & Audits: Generate payroll reports, support internal/external audits, and assist with year-end reporting (W-2s, P45s, etc.).
Collaboration: Work with HR, Finance, and management to integrate systems and improve processes.
System Expertise: Stay updated on payroll software, HRMS, and changes in regulations.
Essential Skills & Qualifications:
Experience (often 3+ years) in payroll processing and tax compliance.
Strong knowledge of payroll laws and tax regulations (e.g., TDS in India, federal/state in US).
Proficiency with payroll software (ADP, Workday, etc.) and MS Office (Excel).
Excellent attention to detail, problem-solving, and customer service skills.
Bachelor's degree in Accounting, Finance, or related field (often preferred).
