Project Coordinator

Core Responsibilities

• Project Planning Assistance:
  Support the Project Manager in defining project scope, goals, and deliverables. Assist in developing detailed project plans, timelines, and schedules to ensure smooth project execution.

• Documentation and Reporting:
  Maintain comprehensive project documentation including permits, contracts, inspection reports, and closeout documents. Prepare progress reports, meeting minutes, and status updates while ensuring all paperwork is accurate and up to date.

• Communication Coordination:
  Act as the central communication link among project managers, site supervisors, subcontractors, vendors, clients, and internal departments to ensure seamless information flow and collaboration.

• Resource Coordination:
  Coordinate and monitor the availability of labor, materials, machinery, and equipment at job sites. Track and follow up on material orders, deliveries, and inventory management.

• Scheduling and Monitoring:
  Track project progress against set milestones, timelines, and deadlines. Schedule project meetings and site inspections, identify potential delays, and escalate issues to management when necessary.

• Budget and Procurement Support:
  Assist in managing project budgets, processing purchase orders and invoices, and maintaining records of vendor contracts and payments.

• Quality and Safety Assurance:
  Ensure that all labor forces possess the required certifications and valid work permits. Support quality control and safety teams in maintaining inspection records and compliance documentation.
