Job Description: Purchase & Billing Officer

Position: Purchase & Billing Officer
Department: Procurement.
Reporting To: Procurement Manager.
Location: Manchar.
Experience: [1–2 years]

Key Responsibilities

• Manage end-to-end purchase and billing activities for Civil and PEB (Pre-Engineered Building) projects.

• Handle CAPEX and OPEX procurement including materials, services, and contracts in line with approved budgets.

• Operate SAP MM module for Purchase Order creation, amendments, Goods Receipt, Service Entry Sheet (SES) posting, and Invoice Verification.

• Prepare, review, and post Service Entry Sheets (SES) for civil, fabrication, erection, and other project-related services.

• Perform invoice verification by matching invoices with PO, SES, BOQ, contract terms, and work completion certificates.

• Ensure timely submission of verified invoices to the Finance team for accurate and on-time payments.

• Coordinate with project, site, and vendor teams to resolve billing discrepancies and quantity/price variations.

• Monitor pending SES, invoices, and approvals to avoid payment delays and cost overruns.

• Maintain complete documentation for Civil & PEB billing, including RA bills, measurement sheets, and completion certificates.

• Ensure compliance with procurement policies, contract conditions, and statutory requirements.

• Support internal and external audits by providing procurement and billing records.

• Prepare MIS reports related to CAPEX/OPEX spend, vendor payments, invoice aging, and procurement status.

Required Skills & Competencies

• Strong hands-on experience in SAP MM module (PR, PO, SES, Invoice Verification).

• Practical knowledge of Civil & PEB billing procedures, including RA bills and service billing.

• Experience in CAPEX & OPEX procurement processes.

• Good understanding of BOQ, work orders, contracts, and billing milestones.

• Strong coordination skills with Finance, Projects, Site Teams, and Vendors.

• High attention to detail and strong follow-up abilities.

• Proficiency in MS Excel, Word, and reporting tools.

Educational Qualifications

• Commerce Graduate

• SAP MM certification will be an added advantage.

Experience

• Minimum 1-2 years of relevant experience in purchase & billing, preferably in Civil / PEB / Construction projects.

• Mandatory experience working on SAP MM in a project-based environment.
