Purchase Executive

The Purchase Executive is responsible for sourcing, negotiating, and procuring raw materials, chemicals, packaging materials, laboratory consumables, and services required for pharmaceutical or biochemical manufacturing operations. The role ensures timely procurement in compliance with GMP, regulatory standards, and company policies while optimizing cost and maintaining quality.

Key Responsibilities

1. Procurement & Sourcing

Source API (Active Pharmaceutical Ingredients), excipients, solvents, intermediates, and biochemical raw materials.

Procure packaging materials (blister foils, bottles, labels, cartons).

Purchase laboratory consumables and production spare parts.

Develop and maintain approved vendor lists.

Identify alternative vendors to ensure uninterrupted supply.

2. Vendor Management

Evaluate and onboard vendors as per GMP and quality requirements.

Conduct price negotiations and finalize contracts.

Monitor vendor performance (quality, delivery, compliance).

Coordinate vendor audits with QA/QC teams.

3. Compliance & Documentation

Ensure procurement complies with Food and Drug Administration (FDA), World Health Organization (WHO), and local regulatory standards where applicable.

Maintain purchase records, agreements, and certificates (COA, MSDS).

Ensure materials meet GMP guidelines.

Work closely with QA for material approval.

4. Inventory & Cost Control

Monitor stock levels to avoid shortages or overstocking.

Coordinate with warehouse and production planning teams.

Analyze market trends for cost optimization.

Prepare monthly purchase reports and budget forecasts.

5. Coordination & Communication

Liaise with Production, QA, QC, R&D, and Finance departments.

Ensure timely delivery of critical materials.

Resolve supply chain disruptions.

Required Qualifications

Bachelor’s Degree in Pharmacy, Chemistry, Biochemistry, Supply Chain, or related field.

2–5 years of experience in pharmaceutical or biochemical procurement.

Knowledge of GMP, regulatory documentation, and pharma raw materials.

Strong negotiation and vendor management skills.

Familiarity with ERP systems (SAP, Oracle, etc.).

Good analytical and communication skills.

Preferred Skills

Understanding of import/export procedures.

Experience in handling controlled substances.

Knowledge of international sourcing.

Risk management and cost analysis skills.
