We are looking for a Office Coordinator to join our team at United Flooring Private Limited to perform a variety of administrative tasks. As a part of this job, you will welcome guests and greet people who visit the organization/business premises. Besides this, you will also handle front-desk tasks like managing mail and forwarding phone calls. The position offers an in-hand salary of ₹15,000 - ₹20,000 and growth opportunities.
Key Responsibilities:
Administration
Maintain various agreements, documents, forms and formats as per pre-defined
formats (latest version).
Maintenance of attendance records and notifying the concerned authorities
Providing support to other departments and managers.
Ensure that quality and cost control is maintained in all departments.
Ensure clean office environment.
Take initiative in manager’s absence
Maintain procedures manual to ensure consistent performance of routines
Arrange essential mail in priority action order for superior
Check deadlines on incoming requests and put preliminary work in play
Do phone surveys/inquiries as needed
Routinely re-order department supplies
Update mail/phone directories
Office supplies are made available to trainees as per the guidelines via the Front office Executive
Information Management
Gathering, migrating, storing and distributing information within the company.
Updating admin related information/data into the MIS
Providing support to other departments and managers.
Providing document management
Providing telecommunication management.
Assisting the IT team in taking a back-up of data/information as needed.
3. Manage Office Equipment
Maintain cleanliness of office premise and equipment.
Ensure that amenities are provided for staff working on night shifts and after office
hours as per company policy
Maintain Office Library and keep inventory and stock of the books and material
(with appropriate original library software)
Maintainence of Office equipment is done as per schedule, contracts are reviewed
and renewed as required.
Record keeping of stationary and providing the same.
4. Visitors
Screen to control interruptions
Arrange amenities as needed
Facilitate travel schedules and make travel arrangements for the employees by
coordinating with travel agents and employees.
5. Travel
Prepare Rider Petrol Expense Sheet Every Month's, And Clear It.
Job Requirements:
The minimum qualification for this role is Graduate and 1 - 3 years of experience. Other required skills include proficiency in Microsoft Office Suite, multitasking and time-management, with the ability to prioritize tasks. He/She must have a professional attitude and be an expert in written and verbal communication.
