Job Description: Office Assistant
Job Summary
We are seeking a highly organized, proactive, and welcoming Office Assistant to join our team. In this role, you will be the backbone of our daily office operations, handling everything from front-desk duties and scheduling to digital filing and inventory management.
The ideal candidate is a multitasking pro with excellent communication skills, a positive attitude, and a readiness to support various team members as needed.
Key Responsibilities
1. Front Desk & Communication
Greet clients, visitors, and vendors with a professional and warm demeanor.
Answer, screen, and forward incoming phone calls while providing basic information when needed.
Manage incoming and outgoing mail, packages, and couriers.
2. Administrative Support
Maintain, organize, and update digital and physical filing systems.
Assist in scheduling appointments, coordinating meetings, and managing office calendars.
Draft, format, and edit documents, emails, and reports for management.
3. Office Operations & Inventory
Monitor and order office supplies, stationery, and kitchen snacks to ensure we are always stocked.
Coordinate with external vendors (cleaning services, IT support, building maintenance) to keep the office in top shape.
Ensure the reception area, conference rooms, and common spaces remain clean and organized.
4. Basic Financial & Event Support
Assist the accounts team with basic data entry, scanning receipts, or tracking petty cash.
Help organize internal company events, team lunches, or client meetings.
Requirements & Qualifications
Education: High school diploma or equivalent; an Associate’s or Bachelor’s degree is a plus.
Experience: 1 year of experience in an administrative, clerical, or customer-facing role.
Technical Skills:
Proficiency in MS Office Suite (Word, Excel, Outlook) or Google Workspace (Docs, Sheets, Drive).
Familiarity with standard office equipment (printers, scanners, phone systems).
Soft Skills:
Strong organizational and time-management skills with the ability to prioritize tasks.
Excellent verbal and written communication skills.
A resourceful problem-solver who can work independently and as part of a team.
