Job Overview:
The Executive Assistant (EA) to the CEO will provide high-level administrative, operational, and strategic support to ensure the CEO’s office runs efficiently. This role requires exceptional organizational skills, strong communication abilities, strategic thinking, and the ability to handle confidential information with integrity. The ideal candidate will have a passion for the film and media industry and a strong understanding of post-production workflows.
Responsibilities:
Executive Support
Manage and prioritize the CEO’s calendar, appointments, meetings, and travel arrangements.
Prepare briefing materials, meeting notes, presentations, and reports for the CEO.
Communication & Coordination
Serve as the primary point of contact between the CEO and internal/external stakeholders.
Draft and proofread emails, documents, and communication materials.
Coordinate across departments to support decision-making and ensure alignment with the CEO’s directives.
Meeting & Project Management
Organize and manage meetings, including agenda preparation, minutes, and tracking of deliverables.
Assist with strategic initiatives, special projects, research tasks, and data analysis as assigned by the CEO.
Follow up with team members on project deadlines and ensure status updates are delivered promptly.
Operational & Administrative Support
Manage travel itineraries, logistics, accommodation, and expense reports.
Oversee documentation, filing systems, and database management for the CEO’s office.
Strategic Assistance
Provide insights, conduct research, and prepare summaries to assist the CEO in decision-making.
Participate in long-term planning sessions and assist in drafting policies, proposals, or presentations.
Requirements:
Bachelor’s degree in Business Administration, Management, Communications, or related field.
2–5 years of experience as an Executive Assistant, Chief of Staff assistant, or similar role—preferably supporting senior leadership.
Excellent communication skills (written & verbal).
Strong organizational and time-management abilities.
Analytical mindset and ability to work with data.
Proficiency in MS Office (Excel, PowerPoint, Word), Google Workspace, and project-management tools, Zoho
High level of discretion, professionalism, and confidentiality.
