Role Brief
We are looking for a smart, energetic, articulate and highly organised Executive Assistant to work closely with
the Managing Director of a large retail enterprise.
This is not a conventional secretarial or diary-management role. The person will closely shadow the MD,
understand business priorities, coordinate with internal and external stakeholders, follow up on decisions and ensure
that important matters move from discussion to execution to closure.
The ideal candidate should have strong communication skills, maturity, ownership and the ability to get things done
through people.
Key Responsibilities
MD Office & Diary Management
• Shadow the MD and understand his priorities, commitments and meetings.
• Manage the MD's calendar, diary, appointments and schedule.
• Prepare meeting briefs, presentations and relevant background information.
• Coordinate with internal and external stakeholders.
• Ensure important commitments and deadlines are tracked and followed through.
MIS & Business Reporting
• Prepare, compile and follow up on MIS and business reports required by the MD.
• Coordinate with sales, operations, marketing, ecommerce, finance and other teams for information.
• Maintain trackers for key business initiatives, targets and priorities.
• Highlight delays, gaps and issues requiring the MD's attention.
Meetings & Follow-up
• Attend important meetings with the MD.
• Prepare accurate Minutes of Meeting with clear action points, owners and timelines.
• Circulate action points and follow up until closure.
• Maintain a central Action & Decision Tracker for the MD.
Clients & Business Partners
• Coordinate with important clients, business partners and stakeholders.
• Schedule meetings and follow up on discussions.
• Prepare meeting briefs and presentations.
• Ensure commitments made to clients are followed through by the relevant teams.
Vendors & Business Meetings
• Travel with the MD for important vendor, supplier and partner meetings when required.
• Coordinate meeting schedules, agendas and information.
• Record key discussions and commitments.
• Follow up with vendors and internal teams after meetings.
