Role : Executive Assistant to Director
Location : Gurgaon
Role Summary:
The Executive Assistant has to effectively manage the Director's office. This role holder needs to manage the calendar, organize the meetings, plan all travel arrangements, expense management etc.
Candidate with ability to manage multiple things, execute all tasks proactively, strong following up skills, is detail oriented and prompt will be successful in this role. Maintain confidentiality and strongly hold the sensitive data/information on behalf of Director.
Duties and Responsibilities:
• Providing administrative assistance, such as drafting and editing emails, and preparing communications on the Director's behalf.
• Maintaining comprehensive and accurate corporate records, documents and reports
• Effectively manage Director's day to day Calendar by keeping track of routine and critical meetings
• Organizing meetings, including scheduling, sending reminders and organizing catering when necessary
• Answering incoming phone calls in a polite and professional manner and accurately taking messages
• Organizing executive / corporate events.
• Provide support in maintaining business expenses and reimbursements for MD’s / Chairman's
• Welcoming visitors (internal/external) and identifying the purpose of their visit before directing them to the Director
• Coordinating travel arrangements (both domestic and international) and create trip itineraries
• Keep reminders and make Payments as appropriate Credit Card/Mobile/Insurance/Others as required
• Follows up on Minutes of the meeting and see through closures on Director's behalf and highlight any non-compliances.
• Using various software’s, including MS-word, MS-Excel, and MS-Power point to prepare reports and/or special projects.
Educational Qualification and Work Experience:
• Graduate / MBA / PG with min 2+Yrs of experience as EA / Secretary to Senior Management ( Have worked in Director/ CEO's Office)
• Excellent verbal and written communication and email etiquette skills
• Strong interpersonal skills & Excellent stakeholder management
• Strong knowledge of Outlook - Calendar & Diary management
• Managing Travel expense and reimbursements
• Good knowledge on applications like MS Word, MS Excel and PPT
• Excellent typing skills
