The Document Segregation & Scanning Executive is responsible for preparing physical documents, segregating them as per client requirements, executing high-quality scanning, and ensuring accurate digital output. The role involves handling old, sensitive, and damaged documents, maintaining proper sequence, and delivering clean and clear scanned images within defined timelines.
Segregate documents strictly according to client instructions (branch-wise, date-wise, category-wise, or application-wise).
Remove staples, threads, pins, or ropes from old bundles and prepare pages for scanning.
Handle torn, fragile, or damaged pages carefully, align them properly, and paste/repair where needed.
Maintain the original order of each document bundle and ensure the same sequence is restored post-scanning.
Ensure all pages are clean, unfolded, and oriented correctly before scanning.
Operate the scanner as per the required specifications (DPI, format, color mode, duplex/single-side).
Decide whether booklets can be scanned directly or need to be separated into individual sheets based on scanner capability.
Ensure all images are captured clearly without blur, skew, cropping, or blank pages.
Maintain proper file naming formats and folder structures as per client guidelines.
Perform quality checks on sample images after every batch to ensure consistency.
Reassemble documents in their original bundles and sequence unless instructed otherwise by the client.
Ensure that no pages are missing or misplaced during document handling.
Submit scanned outputs, daily logs, and segregation reports to the supervisor for verification.
Follow all standard operating procedures (SOP) for document handling and scanning.
Maintain confidentiality and ensure secure handling of sensitive documents.
Report any operational issues, scanner malfunction, or document damage immediately.
Coordinate with team members to ensure smooth workflow and timely completion of tasks.
Basic computer knowledge and experience using scanners.
Strong attention to detail and accuracy.
Ability to handle old, delicate documents with care.
Good communication and coordination skills.
Time management and ability to work under deadlines.
Problem-solving mindset during document or scanning issues.
Minimum: 10th / 12th Pass
Preferred: Diploma or any Graduate
