About the Role
We are looking for a Company Compliance & Documentation Executive who will be responsible for managing the end-to-end statutory registrations, licenses, certificates, renewals, compliance documentation, and government-related documentation of the company.
The candidate will act as a single point of contact for company registrations and compliance documentation, ensuring that all required certificates, licenses, returns, renewals, and supporting documents are maintained properly and completed within the applicable timelines.
Key Responsibilities
1. Company Registrations & Licenses
Handle end-to-end registration and documentation requirements for the company.
Apply for new registrations, amendments, renewals, and cancellations wherever required.
Coordinate with government departments, consultants, authorities, and certification agencies.
Maintain complete records of all registrations, licenses, certificates, and approvals.
Track expiry dates and ensure timely renewal of all licenses and certificates.
2. Statutory & Tax Registrations
Manage and coordinate registrations, amendments, filings, and related documentation for:
GST Registration & Compliance
EPF / PF Registration & Compliance
ESIC Registration & Compliance
Professional Tax (PT) Registration & Compliance
TDS / TAN-related requirements
Income Tax / ITR-related documentation
FSSAI Registration / License, wherever applicable
Shops & Establishment Registration
Labour-related registrations and licenses, wherever applicable
Other statutory registrations applicable to the company or its projects
3. ISO & Certification Management
Coordinate for ISO certification, renewal, surveillance audits, and recertification.
Maintain ISO certificates and supporting documentation.
Coordinate with ISO consultants and certification bodies.
Prepare and maintain documents required for audits and certification.
Track validity and renewal dates of all certifications.
4. Government & Regulatory Documentation
Prepare and submit documents to government departments and regulatory authorities.
Handle online applications and portals related to registrations and compliances.
Coordinate with authorities for queries, notices, clarifications, and document submissions.
Maintain acknowledgement receipts, certificates, challans, approvals, and correspondence.
5. Compliance Calendar & Renewal Tracking
Maintain a centralized compliance and renewal tracker.
Track due dates for registrations, licenses, returns, renewals, certificates, and statutory compliances.
Provide timely reminders to management regarding upcoming deadlines.
Ensure that no important registration, certificate, or license expires without renewal.
6. Documentation & Record Management
Maintain a systematic digital and physical repository of company documents.
Organize documents such as:
Registration Certificates
GST Certificates
EPF & ESIC Documents
PT Certificates
FSSAI Certificates
ISO Certificates
Income Tax / ITR Documents
TDS Documents
Licenses & Renewals
Government Approvals
Challans and Payment Receipts
Audit Reports
Agreements and Supporting Documents
Ensure documents are properly named, categorized, updated, and easily retrievable.
7. Audit & Due Diligence Support
Prepare documentation for internal, statutory, client, government, and third-party audits.
Coordinate with auditors, consultants, and certification agencies.
Provide required certificates and supporting documents within timelines.
Identify missing or expired documents and coordinate for corrective action.
8. Client / Tender Documentation Support
Prepare company credential and compliance documents required for tenders, GeM, government contracts, and client onboarding.
Maintain an updated company document folder containing all valid certificates and registrations.
Provide documents such as GST, PAN, TAN, EPF, ESIC, PT, FSSAI, ISO, ITR, financial and other statutory documents whenever required.
Ensure that documents submitted to clients or authorities are current and valid.
Required Skills
Strong knowledge of company registrations, statutory compliance, and documentation.
Good understanding of GST, EPF, ESIC, PT, TDS, Income Tax, FSSAI and labour-related registrations.
Experience in handling government portals and online registration processes.
Strong documentation and record-management skills.
Good follow-up and coordination skills.
Ability to independently manage multiple registrations and deadlines.
Good knowledge of MS Excel, MS Word, Google Sheets and online portals.
Strong attention to detail and accuracy.
Good written and verbal communication skills.
Educational Qualification:
Bachelor's Degree in Commerce, Business Administration, Finance, Accounting, or a related field.
Candidates with CA/CS/CMA, compliance, taxation, or statutory compliance experience will be preferred.
Preferred Experience:
Candidates with hands-on experience in handling end-to-end company compliance and documentation will be preferred.
Experience with government portals and registrations such as GST, EPFO, ESIC, Professional Tax, FSSAI, Income Tax, TDS, Shops & Establishment, ISO certification, and other statutory registrations will be an added advantage.
