Job Summary: We are seeking a detail-oriented and process-driven CRM Executive to manage the complete Order to-Delivery (O2D) cycle through Google Sheets-based tracking systems. The candidate will be responsible for ensuring smooth coordination between Sales, Production, Dispatch, Accounts, and Customers for timely execution and closure of orders.
Key Responsibilities:
1. Order Processing & Tracking
• Record and maintain all confirmed orders in Google Sheets with complete details (PO, specifications, quantity, value, delivery timelines).
• Update daily order status including production stage, dispatch planning, and expected delivery date.
• Maintain accuracy and real-time data tracking in shared sheets.
2. Coordination & Follow-ups
• Coordinate with Sales Team for order confirmations and clarifications.
• Follow up with Production/Planning team for order progress. • Coordinate with Stores and Dispatch team for shipment planning.
• Liaise with Accounts for invoicing and payment status before dispatch (if applicable).
3. Dispatch & Documentation
• Ensure timely preparation and sharing of dispatch documents (Invoice, E-way Bill, LR Copy, Packing List, etc.).
• Share dispatch details with customers and update tracking information.
• Maintain proper documentation records in shared folders/drive.
4. Customer Communication
• Act as a single point of contact for customers regarding order status and delivery updates.
• Proactively inform customers in case of delays and coordinate resolution.
• Maintain communication logs in tracking sheets.
5. Reporting & Monitoring
• Prepare daily/weekly O2D status reports (Open Orders, In-Process, Dispatched, Delivered, Pending Issues).
• Highlight bottlenecks and delays to management.
• Ensure proper closure of orders in tracking sheets after delivery confirmation.
Required Skills:
• Strong proficiency in Google Sheets.
• Excellent coordination and follow-up skills
• Strong communication skills (verbal & written)
• High attention to detail and accuracy • Ability to handle multiple orders simultaneously
Experience: • 2–4 years experience in Order Processing / Coordination / CRM / Back Office Operations • Experience in manufacturing or engineering industry preferred
