The Back Office Service Coordinator is responsible for managing service-related documentation, coordinating with field technicians and customers, tracking service requests, and ensuring smooth backend support for the service department. This role acts as a communication bridge between customers, service engineers, and internal teams.
Register and track service calls, complaints, and breakdown requests.
Assign service jobs to technicians as per location and urgency.
Prepare and maintain service schedules.
Follow up with service engineers for job updates and closure reports.
Handle incoming customer calls and emails related to service issues.
Provide service status updates to customers.
Ensure timely response and proper complaint handling.
Maintain good customer relationships through professional communication.
Prepare job cards, service reports, and work completion reports.
Maintain records of AMC, warranty, and service history.
Update ERP/CRM or service management software regularly.
Keep records of spare parts usage and service documentation.
Coordinate for service invoice preparation.
Ensure billing is done as per Purchase Order / AMC terms.
Follow up for pending documents required for invoicing.
Coordinate with stores for spare parts availability.
Communicate with purchase team for urgent material requirements.
Support service manager with MIS reports and service data.
Good communication skills (Hindi & English).
Basic technical understanding of service operations (DG sets, engines, equipment, etc. preferred).
Knowledge of MS Office (Excel, Word, Email).
Ability to manage multiple tasks and follow-up efficiently.
Strong organizational and record-keeping skills.
