Job Summary
We are looking for a proactive and detail-oriented Back Office Coordinator to support our Service Operations team. The candidate will be responsible for coordinating service requests, maintaining service records, preparing reports, scheduling engineers, and ensuring smooth communication between customers, field engineers, and internal departments. The role requires strong organizational skills, excellent communication, and proficiency in MS Office.
Key Responsibilities
Coordinate daily service operations and support field service engineers.
Receive and log customer service requests, complaints, and maintenance calls.
Create and assign service tickets/work orders to service engineers.
Schedule preventive maintenance and breakdown service visits.
Maintain service records, job completion reports, and customer databases.
Follow up with customers regarding service status and job completion.
Coordinate with the Stores team for spare parts availability and dispatch.
Monitor service engineers' daily work reports and attendance.
Prepare daily, weekly, and monthly service MIS reports.
Maintain warranty and AMC (Annual Maintenance Contract) records.
Coordinate with the Sales, Accounts, and Technical teams for smooth service execution.
Ensure timely closure of service calls and maintain proper documentation.
Perform other administrative and operational tasks assigned by management.
Required Qualifications
Bachelor's degree in any discipline.
0–2 years of experience in Back Office, Service Coordination, or Operations.
Freshers with excellent communication and computer skills may also apply.
Required Skills
Proficiency in MS Excel, Word, Outlook, and PowerPoint.
Good typing speed and data entry skills.
Strong verbal and written communication.
Excellent coordination and follow-up abilities.
Strong organizational and time management skills.
Ability to work under pressure and meet deadlines.
Basic knowledge of ERP/CRM software is preferred.
Preferred Experience
Experience in electrical, solar, engineering, facility management, or technical service industries.
Experience coordinating field service teams.
Salary
₹10,000 – ₹15,000 per month (Based on qualification and experience)
