Oversee day-to-day operations of the society
Maintain society records, registers, and documents
Ensure compliance with society bye-laws and local regulations
Coordinate with committee members for smooth functioning
Maintain accounts, receipts, and payment records
Track maintenance collections and pending dues
Prepare monthly financial reports
Coordinate with Treasurer and Auditor
Ensure timely vendor payments
Supervise all vendors (security, housekeeping, lift, electrical, etc.)
Ensure work completion as per agreement
Maintain vendor contracts and renewals
Conduct regular inspections of services
Ensure proper maintenance of common areas
Handle repairs, complaints, and service requests
Monitor water supply, electricity, lifts, and amenities
Plan preventive maintenance activities
Act as a single point of contact for residents
Address complaints and escalate if required
Maintain a complaint/feedback register
Ensure timely resolution of issues
Monitor security staff and visitor entries
Ensure CCTV, fire systems, and safety measures are functional
Conduct periodic safety drills and checks
Maintain society legal documents and licenses
Assist in audits and legal matters
Ensure statutory compliances are met
Prepare reports for committee meetings
Maintain MOM (Minutes of Meeting)
Follow up on action items
Send notices, updates, and circulars to residents
Maintain email/communication records
Support digital platforms (MyGate, emails, etc.)
Supervise housekeeping, security, and maintenance staff
Maintain attendance and duty rosters
Ensure discipline and performance
Maintain inventory of society assets
Track usage and maintenance of equipment
Handle emergency situations (fire, water leakage, power failure)
Coordinate with emergency services
