Job Summary
We are looking for a detail-oriented Account Executive to manage the accounting for our China sourcing operations and maintain accurate records for personal accounts. The role involves supplier coordination, payment processing, reconciliations, and data entry, ensuring all financial records are complete, accurate, and on time.
Key Responsibilities
China Sourcing & Accounting
• Record purchase orders, proforma invoices, and commercial invoices from Chinese suppliers in the accounting system.
• Coordinate with the sourcing and purchasing team to verify quantities, pricing, and terms before payment.
• Maintain supplier ledgers and reconcile statements of account with Chinese vendors regularly.
• Track landed costs, including freight, customs duty, insurance, and clearing charges, and allocate them to inventory.
• Verify and file shipping and import documents such as bills of lading, packing lists, and customs declarations.
• Follow up on outstanding supplier balances, credit notes, and disputes.
Personal Account Data Entry
• Enter and maintain transactions for personal accounts of the owner or directors accurately and on time.
• Record personal income, expenses, bank transactions, credit card statements, and investments.
• Perform monthly bank and credit card reconciliations for personal accounts.
• Keep personal and company transactions clearly separated, and maintain supporting documents.
• Prepare summaries or reports of personal account balances and spending when requested.
• Handle all personal financial information with strict confidentiality.
General Accounting Support
• Assist with month-end closing, including accruals and journal entries.
• Support audit and tax filing by preparing schedules and supporting documents.
• Maintain organized digital and physical filing of financial records.
Requirements
• Diploma or degree in Accounting, Finance, or a related field.
• 1–3 years of experience in accounting, preferably involving import purchases or overseas suppliers.
• Working knowledge of accounting software (e.g., QuickBooks, Xero, SAP, Tally, or similar).
• Proficient in Microsoft Excel (VLOOKUP, pivot tables, reconciliations).
• Understanding of foreign currency transactions and import documentation is an advantage.
• Ability to communicate in Mandarin is an advantage for liaising with Chinese suppliers.
