Position: Head of Finance & Accounts

Company: iFuel Private Limited

Industry: Doorstep Fuel Delivery / Petroleum Distribution

Location: Dehradun / Gurugram, as per business requirement

Reporting to: CEO / Managing Director

1. Role Overview

The Head of Finance & Accounts will lead the company's finance, accounting, taxation, budgeting, financial planning and analysis, treasury, and statutory compliance functions. The role will ensure financial discipline, effective working capital management, cost optimization, and accurate financial reporting to support business growth.

2. Key Responsibilities

A. Financial Planning & Analysis

- Prepare annual budgets, financial forecasts, and business plans.

- Develop monthly MIS reports, profitability statements, and management dashboards.

- Analyse revenue, operating costs, gross margins, EBITDA, and business performance.

- Provide financial insights and recommendations to management for strategic decisions.

- Monitor budget variances and implement corrective measures.

B. Accounting & Financial Reporting

- Oversee day-to-day accounting, general ledger, accounts payable, and accounts receivable.

- Ensure timely monthly, quarterly, and annual financial closures.

- Prepare and review the Profit & Loss Account, Balance Sheet, and Cash Flow Statement.

- Maintain accurate books of accounts in accordance with applicable accounting standards.

- Coordinate with statutory auditors, internal auditors, and external consultants.

C. Taxation & Statutory Compliance

- Ensure timely GST returns, TDS payments and returns, advance tax, and income tax compliance.

- Monitor applicable Companies Act and Ministry of Corporate Affairs (MCA) requirements.

- Ensure proper documentation and reconciliation of GST input tax credit.

- Coordinate statutory audits, tax audits, and assessments.

- Monitor applicable petroleum-sector regulatory and tax requirements in coordination with the compliance team.

D. Treasury & Working Capital Management

- Manage daily cash flow, fund availability, and banking operations.

- Prepare cash flow forecasts and monitor liquidity requirements.

- Oversee vendor payments, customer collections, and credit control.

- Monitor outstanding receivables and payable ageing.

- Manage banking relationships, payment approvals, and financing requirements.

E. Business Finance & Cost Control

- Monitor fuel procurement costs, delivery expenses, logistics costs, and operating margins.

- Analyse profitability by customer, location, transaction, and business segment.

- Establish cost-control mechanisms and improve operating efficiency.

- Evaluate pricing, customer contracts, and credit terms from a financial perspective.

- Support expansion plans, new business initiatives, and investment decisions.

F. Internal Controls & Risk Management

- Establish robust financial policies, approval matrices, and internal controls.

- Prevent revenue leakage, duplicate payments, fraud, and financial irregularities.

- Ensure reconciliation of bank accounts, vendor balances, customer accounts, and operational transactions.

- Develop financial risk-monitoring systems and strengthen process controls.

G. Team Leadership

- Lead the finance and accounts team.

- Establish clear responsibilities, review mechanisms, and performance targets.

- Coordinate with operations, procurement, sales, HR, legal, and management teams.

- Improve accounting processes, ERP systems, and financial reporting automation.

3. Qualifications

- CA preferred; alternatively, CMA, MBA Finance, or M.Com with strong relevant experience.

- Strong knowledge of Indian accounting, taxation, GST, TDS, and statutory compliance.

- Experience in financial reporting, budgeting, cash flow management, and working capital control.

- Advanced Excel skills and working knowledge of accounting software or ERP systems.

4. Experience

- Typically 8–12 years of relevant finance and accounting experience.

- Prior experience in a leadership role is preferred.

- Experience in fuel distribution, petroleum, logistics, supply chain, or a high-volume transaction business would be an advantage.

5. Key Performance Indicators (KPIs)

- Timely monthly financial closure and management reporting.

- Accuracy of financial statements and statutory filings.

- Improvement in cash flow and working capital efficiency.

- Reduction in overdue receivables and controllable operating costs.

- Improved gross margins and operating profitability.

- Compliance with internal financial controls and audit requirements.

- Timely and accurate vendor payments and bank reconciliations.
