A Billing Executive is responsible for generating accurate invoices, tracking incoming payments, managing client accounts, and resolving billing discrepancies. They act as a critical bridge between a company's finance team and its clients, ensuring a smooth revenue cycle and strict compliance with statutory regulations.
Core Responsibilities
1. Invoicing & Billing Generation
Preparing and issuing accurate invoices or bills to clients based on services availed or goods purchased.
Verifying pricing, discounts, taxes (e.g., GST), and relevant charges to ensure strict adherence to approved company rate lists.
Processing returns, credit notes, and debit notes when required.
2. Accounts Receivable & Collections
Tracking customer accounts and maintaining updated records of balances and payments.
Sending payment reminders, notifying clients of missed deadlines, and following up on pending dues to ensure a healthy cash flow.
Receiving, organizing, and recording incoming payments across multiple channels.
3. Dispute & Query Resolution
Investigating and fixing billing errors, discrepancies, or income processing issues.
Addressing customer inquiries promptly via email, phone, or in-person, logging issues, and escalating them if necessary.
Coordinating with sales, operations, warehouse, or insurance providers to clarify and resolve discrepancies.
4. Reporting & Compliance
Preparing periodic financial reports (MIS) to track income, outstanding balances, and billing activity.
Ensuring invoices are fully compliant with statutory and tax regulations.
Assisting finance teams with month-end or year-end closing processes and providing required documentation for audits.
Key Skills Required
Technical: Proficiency in accounting and billing software (e.g., Tally, SAP, Oracle) and advanced Microsoft Excel skills.
Analytical: Strong numerical aptitude, extreme attention to detail, and a high degree of organizational capability.
Soft Skills: Excellent verbal and written communication, patience in dealing with customer queries, and strong negotiation skills for collections.
