B2B Collection Executive

Key Responsibilities

• • Manage regular client follow-ups through calls, emails, and other communication channels toensure timely collection of outstanding receivables.Monitor customer outstanding balances, ageing, overdue invoices, and collection commitments.

• Drive timely recovery of outstanding payments in line with agreed credit terms and collectiontargets.

• Prepare and coordinate monthly invoicing, including sharing approximately 1,500 invoices permonth with clients/agencies.

• Ensure invoices are accurate, complete, and shared with the respective stakeholders withindefined timelines.

• Coordinate with internal teams to resolve billing-related queries and ensure timely correction/reissuance of invoices wherever required.

• Perform cash application and ensure timely and accurate posting of customer receipts againstthe respective invoices.

• Manage payment allocation, including identification of unidentified receipts, customer-wiseallocation, and reconciliation of open items.

• Conduct regular books reconciliation and customer ledger reconciliation to identify and resolvediscrepancies.

• Coordinate with clients and internal stakeholders for dispute resolution, including billingdisputes, short payments, deductions, credit notes, and other account-related issues.

• Gather requirements from clients and internal stakeholders and coordinate with relevant teamsfor timely resolution.

• Maintain accurate customer account records, payment commitments, dispute status, andcollection remarks in the relevant ERP/CRM systems.

• Prepare and circulate AR ageing, collection, outstanding, reconciliation, and dispute reportsfor management review.

• Track promised payment dates and proactively escalate delayed or broken paymentcommitments.

• Coordinate with Sales, Finance, Billing, Operations, and other stakeholders to resolve issuesimpacting collections.

• Identify high-risk and long-overdue accounts and initiate appropriate escalation and recoveryactions.

• Support credit control activities, including monitoring customer credit limits, paymentbehaviour, and adherence to agreed credit terms.

• Ensure timely escalation of accounts exceeding approved credit limits or credit periods.

• Assist in customer account reconciliation, balance confirmation, and closure of long-pendingopen items.

• Maintain proper documentation and audit trails for invoices, receipts, reconciliations, disputes,and collection activities.

• Identify process gaps and recommend improvements to enhance cash flow, collectionefficiency, billing accuracy, and AR reporting.

• Ensure adherence to company policies, SOPs, internal controls, and defined collection timelines.

• Support month-end and year-end closing activities related to Accounts Receivable andcollections.
