Job description:
A Back Office Executive (Export) manages the end-to-end documentation, logistics coordination, and compliance for international shipments. Key responsibilities include preparing export documents (invoices, packing lists), coordinating with freight forwarders/customs agents, tracking shipments, and maintaining accurate client records. Proficiency in MS Office and ERP systems is required. Key Responsibilities:
Documentation: Prepare pre-shipment and post-shipment documents, including Proforma Invoices, Commercial Invoices, Packing Lists, Certificates of Origin, and shipping instructions.
Logistics Coordination: Coordinate with freight forwarders, CHA (Customs House Agents), shipping lines, and CFS (Container Freight Stations) to ensure timely cargo movement and customs clearance.
Shipment Tracking: Monitor shipment status from dispatch to final delivery, ensuring proactive communication regarding delays.
Customer/Supplier Support: Maintain strong relationships with international clients, handling inquiries and documentation requirements.
Data Management & Compliance: Maintain accurate records of all export transactions, ensure compliance with international trade regulations, and prepare, reconsile, and submit reports.
Internal Coordination: Work with production/sales teams to manage export costing, pricing, and purchase orders.
Required Skills and Qualifications:
Experience: 1–3 years in export-import documentation or relevant back-office roles.
Skills: Strong proficiency in MS Office (especially Excel), knowledge of EXIM procedures, excellent communication (written and verbal), and attention to detail.
Education: Bachelor’s degree in Business Administration, International Business, or a related field.
Technical Knowledge: Familiarity with LC (Letter of Credit) handling and ERP systems is highly desirable.
