Accountant cum Purchase Manager

Job Summary
Ekanta Global Studio is looking for an experienced and detail-oriented Accountant cum Purchase Manager to manage day-to-day accounting activities along with purchasing and vendor management. The candidate will be responsible for maintaining accurate financial records, monitoring expenses and petty cash, handling stock, sourcing materials, negotiating with vendors, and ensuring timely purchase of fabrics and other boutique requirements.
Key Responsibilities
Accounting & Finance
Maintain day-to-day accounting records using Tally.
Handle petty cash and maintain proper records of all transactions.
Record and monitor daily income and expenses.
Prepare daily/weekly expense reports and maintain supporting bills and invoices.
Conduct Bank Reconciliation Statement (BRS) and ensure bank transactions are properly reconciled.
Monitor cash flow and day-to-day financial transactions.
Analyse income and expenses and provide regular reports to management.
Verify purchase bills, invoices, payments, and supporting documents.
Maintain proper documentation and filing of financial records.
Coordinate with management for payments and financial requirements.
Purchase Management
Handle end-to-end purchase activities for the boutique/studio.
Identify and source fabrics, trims, accessories, embroidery materials, tailoring materials, packaging materials, and other requirements.
Coordinate with suppliers and vendors for quotations, availability, quality, and delivery schedules.
Negotiate prices, payment terms, and delivery conditions with vendors.
Compare quotations and select suitable vendors based on price, quality, and reliability.
Place purchase orders and follow up until materials are received.
Ensure timely procurement of materials according to production and business requirements.
Develop and maintain good relationships with suppliers and vendors.
Search for new vendors and alternate sources when required.
Stock & Inventory Management
Monitor stock inward and outward movements.
Verify quantity and quality of materials received against purchase orders/invoices.
Maintain proper stock records for fabrics and other materials.
Coordinate with the production/tailoring team regarding material requirements.
Monitor stock levels and initiate purchases when stock reaches the required minimum level.
Identify shortages, excess stock, damaged materials, or discrepancies and report them to management.
Ensure proper documentation of material receipts and issues.
Boutique-Specific Responsibilities
Handle fabric purchases based on design, colour, quality, quantity, and production requirements.
Coordinate with designers, tailors, production teams, and management for material requirements.
Source suitable fabrics and boutique materials within the approved budget.
Track fabric consumption and availability.
Ensure materials required for customer orders and production are available on time.
Maintain vendor records, purchase history, pricing details, and material specifications.
Requirements
Minimum 1 year of relevant experience in Accounting, Purchase, Procurement, or a similar role.
Good working knowledge of Tally.
Knowledge of BRS (Bank Reconciliation Statement).
Experience in petty cash handling and daily accounting.
Good understanding of income and expense analysis.
Experience in purchase and vendor management.
Good negotiation and communication skills.
Knowledge of stock/inventory management.
Experience in fabric/material purchasing will be an added advantage.
Good knowledge of MS Excel/Google Sheets.
Should be detail-oriented, responsible, and capable of handling multiple responsibilities.
Preferred Candidate
Candidates with experience in a boutique, fashion, garment, textile, tailoring, or apparel industry will be preferred.
