Job Description

  • Document preparation and processing

Prepare, verify and file all necessary shipping documents, including commercial invoices, packing lists, and customs declarations. 

  • Bill of Lading (B/L) management

Issue Bills of Lading accurately and within the required timeframe after vessel departure, ensuring they align with the shipping instructions. 

  • Shipping instruction (SI) verification

Review and confirm that shipping instructions are accurate, complete, and entered correctly into the system, following up on any missing information to avoid delays. 

  • Filing and record-keeping

File shipping bills electronically and maintain a comprehensive, organized system for all shipping and B/L documents for record-keeping and audits. 

  • Communication and coordination

Communicate with internal teams (e.g., customer service, operations), as well as external partners (e.g., customers, freight forwarders, carriers), to resolve discrepancies and ensure smooth processing. 

Key skills and requirements

  • Attention to detail

Essential for accurately verifying and processing a high volume of documents. 

  • Organizational skills

Needed for managing and tracking large amounts of data and documentation. 

  • Communication skills

Ability to communicate clearly with various stakeholders, including internal staff, customers, and carriers. 

  • Technical proficiency

Familiarity with logistics and documentation software, and general computer skills.
