We are looking for a reliable, professional, and empathetic Client Engagement & Scheduling Coordinator to be the front face of our organization. This is a client-facing voice and text chat role where you will be the first point of contact for all prospective and existing clients. You will attend every scheduled and incoming client call/WhatsApp message, clearly explain our experiences and services in detail, understand client requirements, and seamlessly assign & book appointments by referring to the live tracker, calendar, and slot schedule.
Your tone on every call/WhatsApp message / face to face meeting must reflect empathy, confidence, responsibility, and professionalism. You will own the complete end-to-end client scheduling journey and ensure zero drop-offs due to unavailability or miscommunication.
Key Responsibilities
Attend all client calls/WhatsApp message without fail and represent the organization as its front face.
Responsible for the overall operation of the wellness center including greeting the clients with the hospitality.
Explain our experiences, case studies, service offerings, process, and value proposition to clients in clear, detailed, and structured manner.
Actively listen, understand client needs, pain points, and expectations during calls.
Demonstrate excellent communication skills and emotional intelligence so that every client feels heard, valued, and confident in our capabilities.
Check real-time availability in the tracker, master calendar, and slot schedule and assign the most suitable time slot to the client.
Book appointments instantly during the call and send calendar invites with all necessary details.
Handle rescheduling, cancellations, and follow-ups professionally while maintaining the integrity of the schedule.
Maintain accurate records of all calls, bookings, and client notes in the tracker.
Escalate any complex queries or concerns to the concerned team immediately.
Ensure 100% call attendance and zero scheduling conflicts.
