The Assistant to the Vice President will provide high-level administrative, operational, and coordination support to ensure smooth functioning of the VP’s office. The role involves direct communication with international clients, managing schedules, preparing emails and documents, and supporting end-to-end recruitment coordination activities.
Liaise with overseas clients regarding job requirements, candidate status, documentation, and follow-ups.
Maintain professional and timely communication through email, phone, and virtual meetings.
Assist in preparing and updating client reports, trackers, and presentations.
Draft, review, and send emails on behalf of the Vice President.
Organize and prioritize incoming communication and flag urgent matters.
Ensure proper documentation and filing of communication records.
Coordinate with internal recruitment teams for candidate sourcing and shortlisting.
Track the progress of recruitment cycles and update the VP regularly.
Assist in arranging interviews, candidate briefings, and client interactions.
Maintain updated databases, spreadsheets, and recruitment documentation.
Manage the VP’s calendar, schedule meetings, and handle travel arrangements.
Prepare minutes of meetings, summaries, and follow-up action points.
Assist in preparing proposals, agreements, and other business documents.
Handle confidential information with integrity and professionalism.
Support ad-hoc tasks and special projects assigned by the Vice President.
Bachelor’s degree in Business Administration, HR, or a related field.
1–3 years of experience in recruitment coordination, client servicing, or executive support (preferably in Overseas Recruitment or HR industry).
