Position: Office Assistant
The Office Assistant is responsible for providing administrative and clerical support to ensure the smooth and efficient operation of the school office.
Key Responsibilities
- Maintain school accounts and assist with day-to-day financial records.
- Perform accurate data entry and update school databases.
- Maintain and organize student, staff, and administrative records.
- Prepare official letters, notices, reports, certificates, and other office documents.
- Handle admissions-related documentation and maintain confidential files.
- Manage office correspondence, including emails, phone calls, and visitor inquiries.
- Coordinate with teachers, parents, and management regarding administrative matters.
- Manage the school's social media platforms by creating and publishing updates, announcements, and promotional content.
- Maintain digital and physical filing systems.
- Operate office equipment such as computers, printers, scanners, and photocopiers.
- Assist in fee record management and generate reports when required.
- Ensure confidentiality of all school records and information.
- Perform any other administrative duties assigned by the Principal or School Management.
Required Skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Knowledge of basic accounting and bookkeeping.
- Excellent data entry and record management skills.
- Strong written and verbal communication skills.
- Familiarity with social media management (Facebook, Instagram, WhatsApp, etc.).
- Good organizational and time management abilities.
- Ability to work independently and maintain confidentiality.
- Attention to detail and accuracy.
Qualifications
- Bachelor's degree or equivalent qualification.
- Experience in school administration or office management is preferred.
- Basic knowledge of accounting software is an advantage.
