Job Description:
As the Executive Assistant to the Director, you will play a pivotal role in ensuring the smooth operation of
the executive office and providing high-level administrative support. You will be responsible for
managing the Director's schedule, coordinating meetings and appointments, handling correspondence,
and assisting with various projects and initiatives. Your primary duties and responsibilities will include:
Managing the Director's calendar, including scheduling meetings, appointments, and travel
arrangements.
Screening and managing incoming calls, emails, and other communications, and responding
appropriately or redirecting, as necessary.
Drafting and preparing correspondence, presentations, reports, and other documents on behalf of the
Director.
Coordinating and preparing materials for meetings, including agendas, presentations, and minutes.
Conducting research and compiling data to support decision-making and strategic planning.
Liaising with internal departments, external stakeholders, and clients on behalf of the Director.
Providing administrative support, such as managing expenses, processing invoices, and maintaining filing
systems.
Assisting with special projects and initiatives as assigned by the Director.
Qualifications:
Minimum qualification is graduation.
Well-groomed and presentable individual.
Organizational and time management skills, with the ability to prioritize tasks and manage multiple
projects simultaneously.
Strong communication and interpersonal skills, with the ability to interact effectively with individuals at
all levels of the organization.
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software
applications.
Discretion and confidentiality in handling sensitive information.
Proactive and resourceful with a positive attitude and a willingness to take initiative.
Ability to work independently with minimal supervision and as part of a team.
