Job Description – Back Office Executive
Work Responsibilities Include (but are not limited to):
Material Stock Report Generation
Regularly update and maintain stock reports of raw materials and finished
goods.
Monitor inventory levels and report shortages or overstock situations.
Vendor Coordination for Material Procurement
Follow up with vendors to ensure timely delivery of materials.
Handle quotation requests, inquiries, and order confirmations.
Attendance Monitoring
Maintain accurate daily attendance records of employees.
Coordinate with HR for leave tracking and absentee reporting.
Documentation for New Employee Joining
Collect and verify all necessary documents from new joiners.
Assist HR in completing joining formalities and maintaining personnel files.
Dispatch Coordination
Prepare and manage dispatch schedules in coordination with the logistics team.
Ensure accurate packaging, labelling, and documentation of dispatch materials.
Purchase Order Processing
Handle end-to-end Purchase Order process from requirement gathering to order
closure.
Maintain proper records of POs and follow up on pending deliveries.
Data Entry and Record Maintenance
Enter and regularly update data in ERP or Excel-based systems.
Maintain organized and retrievable document filing systems.
Internal Coordination
Communicate and coordinate with production, accounts, and stores departments
for operational efficiency.
Assist the management with timely reports, updates, and other support as
needed.
Required Skills:
Proficiency in MS Office (especially Excel)
Familiarity with ERP systems (preferred)
Strong communication and coordination skills
Attention to detail and good organizational habits
