Job Description

The Back Office Executive plays a crucial role in ensuring the smooth and efficient day-to-day operations of a stock broking firm. This role involves handling administrative, operational, and processing tasks related to stock trading and investment transactions. The executive will support front-office teams, ensure accurate record-keeping, and assist with trade settlements, client documentation, and reconciliations.

Key Responsibilities:

Client Account Management:

  • Assist in the opening and maintenance of client accounts, ensuring all necessary documentation is up to date.

  • Handle client requests related to account updates, balance inquiries, and transaction history.

  • Ensure proper KYC (Know Your Customer) and AML (Anti-Money Laundering) documentation for new and existing clients.

 Record Keeping & Documentation:

  • Maintain accurate records of all transactions, trade confirmations, contract notes, and other related documents.

  • Ensure proper filing and archiving of client and transaction records, both digitally and physically.

  • Assist in audit preparation by providing necessary documentation and reports.

 Reconciliation and Reporting:

  • Reconcile trade data between internal systems and exchange reports, identifying discrepancies.

  • Prepare daily/monthly reports on trade activity, positions, and account balances for internal teams and clients.

  • Monitor and report on margin levels, unsettled trades, and other operational issues.

 Back Office Support:

  • Provide administrative support to front-office teams and other departments.

  • Assist with any operational queries or issues raised by clients, front-office staff, or other stakeholders.

  • Handle all back-office communication (emails, phone calls) and ensure timely resolution of client inquiries.

Compliance & Risk Management:

  • Ensure that all operations are in compliance with regulatory guidelines and internal policies.

  • Help monitor risk parameters (e.g., margin calls, exposure limits) and escalate issues to relevant departments when needed.

  • Assist in the preparation of reports and documentation for audits or regulatory checks.

Qualifications:

  • Bachelor's degree in Commerce, Finance, Business Administration, or a related field.

  • NISM certification or knowledge of financial markets (preferred).

  • Basic understanding of the stock broking industry and related financial instruments (equities, derivatives, commodities).

Key Skills:

  • Strong attention to detail and accuracy in data entry and document management.

  • Proficiency in MS Office (Excel, Word) and familiarity with back-office software and tools.

  • Ability to handle multiple tasks and prioritize under tight deadlines.

  • Good communication skills (both written and verbal).

  • Ability to work effectively within a team and cross-functionally.

  • Basic understanding of regulatory requirements (e.g., SEBI guidelines).
