Team Lead- Operations

Job Summary

We are looking for a responsible and proactive Team Leader to manage vending machine operations across 8 locations in Dehradun. The candidate will be responsible for ensuring timely refilling, managing refilling staff (Champ), maintaining machine availability, and ensuring smooth day-to-day operations at all locations.

Key Responsibilities

1. Vending Machine Operations

- Oversee daily operations of vending machines across all 8 locations.

- Ensure timely refilling and maintain product availability in every machine.

- Monitor machine performance and ensure minimum downtime.

- Address stock shortages, machine-related issues, and operational challenges promptly.

2. Refiller Management

- Manage, guide, and supervise refillers assigned to each location.

- Ensure refillers report on time and complete their daily tasks.

- Monitor attendance, productivity, discipline, and work performance.

- Arrange backup staff whenever a refiller is absent or unavailable.

3. Hiring and Staff Allocation

- Identify manpower requirements for specific locations.

- Coordinate with management or HR to hire refillers whenever required.

- Support the hiring, onboarding, and training of new staff.

- Ensure every location has adequate manpower to maintain uninterrupted operations.

4. Stock and Inventory Management

- Monitor stock availability and coordinate with the warehouse or supply team for timely replenishment.

- Track fast-moving, slow-moving, and out-of-stock products.

- Ensure proper stock handling and minimize wastage, damage, and stock discrepancies.

- Verify stock consumption and report any shortages or irregularities.

5. Reporting and Performance Monitoring

- Collect daily reports from refillers regarding refilling, stock, machine status, and operational issues.

- Maintain records of attendance, refilling activities, stock movement, and machine downtime.

- Submit daily and weekly operational reports to management.

- Track location-wise performance and take corrective action wherever required.

6. Location and Client Coordination

- Coordinate with college, university, hostel, hospital, and other site management teams.

- Resolve operational complaints and maintain good relationships with clients.

- Coordinate for machine installations, relocations, electricity issues, and storage or warehouse requirements.

- Ensure all machines remain accessible and operational according to site requirements.

7. Quality Control and Compliance

- Conduct regular visits to all 8 locations to inspect machine condition, cleanliness, product arrangement, and expiry dates.

- Ensure products are properly stocked and displayed.

- Follow company policies, hygiene standards, and operational procedures.

- Prevent unauthorized stock handling and report any suspicious activity.

8. Problem-Solving and Escalation

- Resolve day-to-day operational issues independently wherever possible.

- Escalate major machine breakdowns, repeated stock shortages, staff misconduct, and client complaints to management.

- Take immediate action to minimize service disruptions.

9. Operational Planning and Improvement

- Plan staff schedules and location visits efficiently.

- Optimize refilling routes to reduce travel time and operational costs.

- Identify opportunities to improve sales, product availability, and customer satisfaction.

- Recommend improvements in manpower allocation and operational processes.

Key Performance Indicators (KPIs)

- Timely refilling across all 8 locations.

- Machine uptime and product availability.

- Staff attendance, productivity, and retention.

- Reduction in stock discrepancies, wastage, and expiry-related losses.

- Timely resolution of operational complaints.

- Accuracy and punctuality of daily and weekly reports.

- Client satisfaction and compliance with company standards.

Required Skills

- Previous experience in field operations, retail, FMCG, vending machines, or logistics will be preferred.

• It is a Full Time Warehouse / Logistics job for candidates with 6 months - 3 years of experience.
