Job Title: Shipping & Export Documentation Executive (Manufacturing & Export Unit)
Location: IMT Sector 68, Faridabad, Haryana
Employment Type: Full-Time
Experience: 1–3 years in export documentation/shipping for hardgoods/home décor; industry fit preferred.
Salary: ₹18,000–₹25,000 per month (As per experience and market)
Role Purpose
• Ensure timely, compliant, and cost‑effective dispatches by coordinating transport, customs clearance, and accurate export documentation across all trade lanes.
• Maintain shipment visibility and records in our internal system and buyer systems to meet OTIF and reduce port dwell time and penalties.
Key Responsibilities
• Freight coordination: Plan and book road/air/sea moves for India and global destinations with carriers/forwarders, securing slots, rates, and transit times per buyer Incoterms.
• Customs clearance: Coordinate with Customs House Agent (CHA) for Shipping Bill filing, query resolution, gate‑in, and let export order (LEO) across relevant ports/ICDs.
• Export documentation: Prepare and verify Commercial Invoice, Packing List, Shipping Bill details, BL/AWB draft approvals, and insurance where applicable.
• Certificate of Origin: Create and track CoO applications on DGFT’s eCoO platform as per buyer/FTA requirements.
• Buyer portals: Upload ASN, labels, bookings, and documents on buyer‑specific systems; maintain status updates and acknowledgements.
• Internal records: Create and update Shipment entries, AWB/BL numbers, parcel details, Incoterms, and tracking through to POD, ensuring data cleanliness.
• Dispatch readiness: Verify pack lists, carton/pallet counts, HS code alignment on documents, and compliance marks/labels before pickup.
• Tracking and exceptions: Monitor milestones (pickup, customs, departure, arrival) and escalate delays, holds, or documentation queries proactively.
• Archives and audit: Maintain complete digital shipment dossiers (invoice set, PL, S/B, BL/AWB, CoO, insurance, POD) for audits/claims.
• Cross‑functional coordination: Liaise with Production, QC, and Packing to align cut‑offs, volumes, and packaging specs per booking windows.
Desired Candidate Profile
• 1–3 years' relevant experience: Working knowledge of export process—Shipping Bill types, BL/AWB, Incoterms, and port procedures.
• Educational Qualifications: BA/BSc (required) + Graduation with Mathematics as a subject.
• Strong Knowledge of MS Office (Excel, Word, PPT), Shipment Documentations, Google Workspace and web-based buyer platforms for document uploads and ASN.
• DGFT eCoO familiarity for preferential/non‑preferential CoO workflows.
• Communication: Clear written/spoken English; coordination with CHA, forwarders, and buyers.
• Detail orientation: Strong document checking, HS mapping consistency on all paperwork, and archive discipline.

• Experience with international business culture and logistics for major export destinations (US, UK, EU, Middle East, Asia) is a plus.
