We are looking for a responsible and detail-oriented Packaging & Dispatch Executive to manage packaging materials, stock records, labelling inventory, cold room coordination, dispatch arrangements, and documentation. The candidate will be responsible for ensuring that all dispatch requirements are completed accurately and on time while maintaining proper stock records and coordination with internal teams, transporters, and vendors
Key Roles & Responsibilities
1. Packaging Material Management
• Maintain adequate stock of all packaging materials required for daily production and dispatch.
• Monitor the availability of cartons, boxes, pouches, labels, tapes, wrapping materials and other packaging consumables.
• Maintain proper records of packaging material receipts, issues and consumption.
• Ensure packaging materials are stored properly and protected from damage or contamination.
2. Stock Keeping & Inventory Management
• Maintain accurate stock records for Finished Goods lot wise.
• Update inward and outward stock on a regular basis.
• Reconcile physical stock with records/system stock and report discrepancies.
• Organize the storage area for easy identification and movement of materials.
• Follow FIFO/FEFO practices wherever applicable.
3. Labelling Stock Management
• Maintain sufficient stock of product labels as per production and dispatch requirements.
• Verify labels for product name, batch details, MRP, manufacturing/expiry dates and other required information before use.
• Ensure the correct label is issued for the correct product/SKU.
• Maintain records of label receipts, usage and balance stock.
4. Cold Room Maintenance & Coordination
• Monitor the cleanliness, organization and general condition of the cold room.
• Maintain proper records/checklists for cold room temperature monitoring.
• Coordinate with the maintenance team for any cold room equipment or temperature-related issues.
• Immediately report temperature deviations, equipment breakdowns or other issues to the concerned person.
• Ensure products are properly arranged to allow safe and efficient movement and storage.
• Follow required hygiene, food safety and storage practices.
5. Dispatch Management
• Coordinate daily dispatch activities according to approved dispatch requirements.
• Ensure the correct product, quantity, batch and packaging are prepared for dispatch.
• Coordinate with production, stores, sales and accounts teams for dispatch planning.
• Ensure dispatch material is ready within the required timeline.
• Check the condition and packaging of goods before handing them over for dispatch.
• Maintain dispatch records, including quantity, batch details, transporter/porter details and dispatch date.
6. Porter / Transport Booking
• Arrange porter/transport services for dispatch material as per requirement.
• Coordinate with porters, delivery personnel and transporters regarding pickup and delivery schedules.
• Ensure the transporter/porter receives the correct dispatch information and material.
• Maintain records of porter/transport bookings and related charges.
• Coordinate with the concerned team in case of delays, cancellations or delivery issues.
7. Quality, Hygiene & Compliance
• Follow company SOPs and food safety, hygiene and packaging standards.
• Ensure the dispatch and packaging areas are clean and organized.
• Report damaged packaging, leakage, contamination or other quality-related issues immediately.
• Ensure proper handling of finished goods during packing, storage and dispatch.
• Support internal audits and stock verification activities when required.
8. Coordination & Reporting
• Coordinate effectively with Production, Stores, Purchase, Sales, Accounts, Quality and Logistics teams.
• Provide daily/weekly updates on packaging material and dispatch status.
• Report stock shortages, discrepancies, damaged material and dispatch delays to management.
• Maintain proper records and documentation for all packaging and dispatch activities.
• Perform other packaging, inventory and dispatch-related duties assigned by management.
