Sr. Executive – Export Operations (Import Coordination & Logistics)

Experience Required: 2-5 Years (in Import Documentation, Logistics & CHA Coordination)
Job Summary:
We are seeking a highly organized and detail-oriented Executive to handle critical operational tasks related to pre-shipment coordination, freight and arrival planning, CHA liaisoning, and goods receipt/inspection in collaboration with internal departments. The role demands strong documentation skills, compliance awareness, and cross-functional communication capabilities.
Key Responsibilities:
1. Pre-Shipment Coordination (Import Documentation Team):
Ensure timely collection and verification of shipping documents from suppliers.
Cross-check Invoice, Packing List, BL/AWB, Certificate of Origin, and other statutory documents.
Coordinate with the finance team for advance remittance clearance, if applicable.
Monitor and maintain digital/physical records of all import documents.
2. Freight & Arrival Planning (Logistics Team):
Liaise with freight forwarders and transporters for vessel/flight schedules and shipping line bookings.
Track shipments and maintain regular ETA updates to the logistics and warehouse teams.
Share arrival plans in advance to ensure readiness of CHA and warehouse.
3. CHA Coordination (Customs House Agent):
Submit all required documents timely to CHA for customs clearance.
Follow up on Bill of Entry filing, customs inspection, and duty payment processes.
Resolve any discrepancy or query raised by CHA/customs in coordination with documentation and supplier.
4. Goods Receipt & Inspection (Warehouse Team Coordination):
Inform warehouse team in advance regarding shipment arrival.
Coordinate inward entry, goods inspection, and stock confirmation.
Ensure damage, shortage, or excess is reported and documented correctly.
5. Internal Communication & Documentation Flow:
Use email as the primary tool for all inter-department communication.
Ensure shared folders (digital or physical) are updated with all import files, reports, and checklists.
Maintain proper version control and secure storage of sensitive import-related data.
6. Compliance & Document Review:
Personally verify all documents for completeness, correctness, and compliance.
Ensure adherence to internal SOPs, statutory regulations (DGFT, Customs, BIS, etc.), and audit protocols.
Escalate any deviations or red flags to the Operations/Compliance Head.
7. Review & Process Control:
Maintain import trackers and shipment status reports.
Assist in periodic reviews and audits of import files.
Identify process gaps and suggest improvements to enhance operational efficiency.
Key Skills Required:
Excellent knowledge of import documentation and customs procedures
Strong coordination skills across multiple departments
Proficiency in MS Office (Excel, Outlook, Word), ERP knowledge preferred
Attention to detail with a high level of accuracy
Knowledge of Indian import compliance laws and INCOTERMS
Effective written and verbal communication skills
