Job Title: Import Coordinator / Import Executive

Role Overview
We are looking for an experienced Import Coordinator / Import Executive to manage and coordinate the end-to-end import process. The ideal candidate will be responsible for import documentation, shipment tracking, customs coordination, and ensuring timely delivery of materials while maintaining compliance with import regulations. The role requires strong coordination with overseas suppliers, freight forwarders, Customs House Agents (CHA), transporters, and internal departments.
Key Responsibilities
Coordinate end-to-end import shipments from overseas suppliers.
Prepare, verify, and maintain import documentation, including Commercial Invoice, Packing List, Bill of Lading (BL), Certificate of Origin (COO), Insurance, and other shipping documents.
Coordinate with freight forwarders, Customs House Agents (CHA), shipping lines, transporters, and vendors for smooth shipment execution.
Track shipment status and proactively follow up to ensure timely customs clearance and delivery.
Ensure compliance with import regulations, customs procedures, and company policies.
Coordinate with the Accounts team for duty payments, shipping charges, and documentation required for customs clearance.
Resolve shipment delays, documentation discrepancies, and logistics-related issues efficiently.
Maintain accurate records of imports, shipment status, and documentation in Excel/Google Sheets and ERP systems.
Prepare periodic reports on shipment status, import costs, and pending shipments.
Work closely with the Purchase, Warehouse, Sales, and Accounts teams to ensure smooth material availability.
Skills & Requirements
Graduate in Commerce, Supply Chain, Logistics, International Business, or a related field.
1–3 years of experience in Import Documentation, Import Coordination, or International Logistics.
Good understanding of import procedures, customs clearance, shipping documentation, and Incoterms.
Experience coordinating with freight forwarders, CHA, shipping lines, and overseas suppliers.
Proficiency in MS Excel and/or Google Sheets.
Strong organizational, communication, and follow-up skills.
Ability to manage multiple shipments and meet deadlines.
Attention to detail with excellent documentation and record-keeping skills.
Knowledge of ERP systems will be an added advantage.
Preferred Skills
Familiarity with DGFT, ICEGATE, and customs documentation processes.
Basic understanding of international trade regulations and import compliance.
Problem-solving mindset with the ability to handle shipment-related challenges independently.
