Dispatch Executive

We are looking for a detail-oriented Dispatch Executive to manage our daily shipment operations. The ideal candidate will be the bridge between our internal production/sales team and our courier partners. You must be a master of data, using Excel to track shipments, analyze costs, and ensure zero errors in dispatch documentation.

Note: We are open to hiring Freshers as Trainees who have a strong aptitude for learning and excellent computer skills.

Key Responsibilities

• Shipment Processing: Coordinate the packing, labeling, and handover of goods to courier partners (e.g., Blue Dart, Delhivery, DTDC) on a daily basis.

• Data Management (Critical): Maintain a Master Dispatch Register in Excel. Record docket numbers, weights, volumetric dimensions, and destination pin codes accurately.

• Tracking & Reporting: Track all active shipments daily. Create "Exception Reports" using Excel to highlight delayed shipments or RTOs (Return to Origin) and communicate this to the Sales team.

• Documentation: Ensure all invoices, E-Way bills, and delivery challans are perfectly matched with the physical packages.

• Cost Analysis: Check courier bills against our agreed rate cards to identify overcharging or weight discrepancies.

• Vendor Coordination: Call and coordinate with local field delivery executives to ensure pickups happen on time.

Candidate Profile

A. For Experienced Candidates (Dispatch Executive)

• Experience: Minimum 2 years of working experience in a Courier Company, Logistics Firm, or the Dispatch department of a manufacturing company.

• Logistics Knowledge: Deep understanding of Volumetric Weight calculations, Zone-based pricing, and COD (Cash on Delivery) reconciliation.

• Problem Solving: Proven ability to resolve "Lost in Transit" or "Wrong Delivery" cases with courier support teams.

B. For Freshers (Dispatch Trainee)

• Education: Any Graduate.

• Attitude: Must be eager to learn logistics operations.

• Requirement: Must be willing to start as a Trainee for a probation period (e.g., 3–6 months) before confirmation.

Technical Skills Required (Must Have)

• Advanced Excel: This is non-negotiable. You must be comfortable with:

  • VLOOKUP/XLOOKUP: To map tracking numbers to customer names.

  • Pivot Tables: To summarize monthly shipping costs by courier partner.

  • Conditional Formatting: To highlight delayed shipments automatically.

  • Sorting & Filtering: To manage large datasets of daily orders.

• Email Communication: Ability to write clear, professional emails to courier support teams regarding lost or damaged parcels.
