Logistics Dispatch Executive

Job Summary
We are looking for a responsible, organized, and detail-oriented Store & Dispatch Executive to manage day-to-day ground-level operations, material dispatches, purchase documentation, transportation coordination, and related administrative activities.

The candidate will coordinate with the purchase, accounts, production, store, and logistics teams to ensure timely material availability, accurate documentation, and smooth movement of materials.

Key Roles & Responsibilities

- Material Dispatch & Ground-Level Operations:
- Manage daily material dispatch activities to ensure timely deliveries.
- Prepare dispatch details, packing lists, delivery challans, and other required documents.
- Update dispatch status and share tracking details with the concerned teams.
- Coordinate with production and project teams regarding material readiness.
- Verify material quantity and condition prior to dispatch.

Purchase Order (PO) & Documentation:
- Maintain purchase orders, bills, invoices, delivery challans, and related records.
- Track pending purchase orders and material delivery statuses.
- Coordinate with vendors regarding pending materials and delivery schedules.
- Maintain organized digital and physical records of purchase and store documents.
- Verify received materials against purchase orders and delivery challans.
- Transportation & Logistics Coordination:
- Arrange transportation for incoming and outgoing materials.
- Coordinate with transporters and drivers, and maintain transport details.
- Track shipment movements and follow up on any delayed deliveries.

Bill & Accounts Coordination:
- Collect and maintain vendor bills, freight bills, and transport invoices.
- Check bills against purchase orders, delivery challans, and received materials.
- Submit verified bills to the accounts department for processing.
- Maintain records of pending bills, payments, and supporting documents.
- Coordinate with the accounts team regarding missing documents and bill discrepancies.

MIS & Reporting:
- Prepare daily dispatch and material status reports.
- Maintain Excel trackers for inventory, pending POs, dispatches, and transportation.
- Highlight stock shortages, dispatch delays, and documentation issues.

Required Skills
- Basic to intermediate knowledge of MS Excel and MS Office.
- Strong documentation and record-maintenance skills.
- Understanding of store operations, dispatch, and logistics.
- Basic knowledge of purchase orders, invoices, delivery challans, and transport bills.
- Good coordination and follow-up capabilities.
- Ability to manage multiple tasks and meet deadlines.
- Responsible, punctual, and attentive to detail.

• It is a Full Time Warehouse / Logistics job for candidates with 1 - 2 years of experience.
