Dispatch Executive

1. Order Management:

Review and process customer orders for timely dispatch.

Coordinate with the sales and production teams to confirm order readiness.

2. Logistics Coordination:

Schedule and arrange transportation for delivery (in-house or third-party logistics).

Plan optimal delivery routes to ensure timely and cost-effective distribution.

3. Inventory Coordination:

Ensure finished goods are ready and available for dispatch.

Monitor stock levels in the dispatch area and coordinate with warehouse staff.

4. Documentation & Records:

Prepare dispatch documentation including invoices, delivery challans, gate passes, and transport receipts.

Maintain accurate records of dispatched orders for tracking and audits.

5. Quality & Packaging Checks:

Ensure that packed products meet company standards and dispatch specifications.

Oversee final inspection before loading to prevent errors or damage.

6. Communication:

Liaise with transporters, customers, and internal teams to confirm dispatch details.

Provide delivery status updates to customers and resolve any logistics issues.

7. Compliance & Safety:

Ensure dispatch processes follow food safety, hygiene, and regulatory requirements.

Maintain cold chain integrity (if applicable) for perishable items like cakes and chocolates.

8. Issue Resolution:

Handle delivery discrepancies, product returns, and customer complaints related to dispatch.

9. Team Supervision:

Manage and guide dispatch staff and loaders.

Ensure proper training and adherence to standard operating procedures (SOPs).

10. Reporting:

Generate daily/weekly dispatch reports for management review.
