Job Summary:

We are seeking a detail-oriented and organized Travel Desk Executive with at least 1 year of experience. The ideal candidate will handle all aspects of domestic and international travel arrangements, ensuring smooth coordination, compliance with travel policies, and cost-effectiveness.


Key Responsibilities:

  • Plan and coordinate travel (flights, train, hotel, cab bookings) for staff and management.

  • Manage and track travel requests, approvals, and bookings through travel portals or vendors.

  • Prepare travel itineraries, ensure proper documentation, and keep records up to date.

  • Communicate with internal teams and external agencies to resolve travel issues or changes.

  • Monitor and ensure adherence to the company's travel policy.

  • Assist in processing travel expense reimbursements and vendor payments.

  • Maintain vendor relationships with travel agencies, hotels, and transportation providers.

  • Stay informed about visa procedures, travel advisories, and COVID protocols.


Relevant Skills Needed:

  • Travel Management Systems (e.g., MakeMyTrip for Business, Egencia, etc.)

  • MS Office Proficiency (Excel, Word, Outlook)

Requirements:

  • Bachelor’s degree in any discipline.

  • Minimum 1 year of experience in a similar travel coordination or administrative role.

  • Prior experience in handling corporate travel arrangements.

  • Familiarity with invoicing and reimbursement procedures.

  • Fluency in English; additional languages are a plus.


Preferred Qualities:

  • Calm under pressure and quick thinking during travel disruptions.

  • Experience working in startups or fast-paced environments.

  • Familiarity with international visa and documentation processes.
