Job Description

Summary

The Import-Export Documentation Manager is responsible for overseeing all documentation and regulatory compliance related to the company's international shipments, ensuring timely and cost-effective movement of goods across global markets. This role requires deep expertise in customs procedures, trade compliance, and international shipping logistics. The manager will lead the documentation team, maintain accurate records, and collaborate closely with sales, finance, and external stakeholders (freight forwarders, customs agents).

Experience in the Masterbatch, Pigments, or Specialty Chemicals industry is highly beneficial.

Key Responsibilities

I. Documentation Management

  • Oversee and verify the preparation and submission of all required import and export documents, including Bills of Lading (B/L), Airway Bills (AWB), Commercial Invoices, Packing Lists, Certificates of Origin (C/O), GSP Certificates, and Proforma Invoices (P/I).

  • Ensure 100% accuracy and compliance of documentation to prevent delays, penalties, and customs issues.

  • Manage document archival and record-keeping systems for ease of retrieval and audit readiness.

  • Handle documentation related to Letter of Credit (LC) and bank negotiation processes, ensuring timely realization of payments.

II. Trade Compliance and Regulatory Adherence

  • Maintain expert knowledge of local (e.g., DGFT, Customs, FEMA regulations in India) and international trade laws and compliance requirements (e.g., sanctions, restricted parties).

  • Ensure correct usage of Harmonized System (HS) Codes/HTS codes and adherence to Incoterms (2020) rules for all commercial transactions.

  • Manage duty drawback claims, refund applications, and other benefits under foreign trade policies (e.g., MEIS/RoDTEP/SEIS).

  • Coordinate with customs brokers to ensure smooth and compliant customs clearance processes.

III. Logistics Coordination and Operations

  • Collaborate with the logistics team to ensure documentation aligns with shipping schedules and carrier requirements (sea freight, air freight, and road transport).

  • Monitor shipment status and proactively address any documentation discrepancies that could impact delivery timelines.

  • Optimize documentation workflows to reduce turnaround time and improve overall process efficiency.

Qualifications and Skills

  • Education: Bachelor’s degree in Business Administration, International Trade, Logistics, or a related field.

  • Experience: 5-10 years of dedicated experience in Import and Export Documentation and Trade Compliance, preferably with an emphasis on the manufacturing sector.

  • Technical Knowledge: Comprehensive understanding of Incoterms 2020, foreign trade policies, customs regulations, and HSN classification.

  • Skills: Exceptional attention to detail, strong organizational and time management abilities, and proficiency in MS Office (Excel, Word).

Preferred:-

  • Industry Experience: Previous documentation or logistics experience within the Masterbatch, Pigments, Polymers, or Specialty Chemical industry.

  • Advanced Degree: Master’s degree or relevant certification (e.g., Certified Customs Specialist).

  • System Proficiency: Experience with ERP systems (SAP, Oracle) and specialized trade management software.
