Job Summary:
The Senior Booking Coordinator – Banquet Hall is responsible for managing end-to-end banquet bookings, client relationships, and smooth execution of events. This role requires strong coordination skills, client handling expertise, and the ability to independently manage multiple events while ensuring high customer satisfaction and revenue optimization.
Key Responsibilities:
Booking & Sales Coordination
Handle all banquet inquiries via calls, walk-ins, emails, and online platforms.
Prepare, present, and negotiate banquet proposals, quotations, and agreements.
Convert inquiries into confirmed bookings and maximize booking revenue.
Maintain and manage the banquet booking calendar accurately.
Handle large-scale and high-value bookings independently.
Client Relationship Management
Act as the single point of contact for clients from inquiry to event completion.
Conduct banquet hall site visits and explain facilities, packages, and services.
Coordinate all event requirements such as menu finalization, seating layout, décor, AV setup, and special requests.
Ensure timely follow-ups and provide exceptional customer service to drive repeat business.
Event Planning & Execution
Prepare and circulate detailed Banquet Event Orders (BEOs) / function sheets.
Coordinate with kitchen, service, housekeeping, décor, AV, and security teams.
Be present during events to oversee execution and handle on-ground issues.
Manage last-minute changes efficiently without impacting service quality.
Billing & Revenue Management
Coordinate with accounts for advance collections, invoicing, and final billing.
Ensure timely payment collection as per agreed terms.
Resolve billing discrepancies and close events smoothly post-execution.
Documentation & Reporting
Maintain complete records of bookings, contracts, payments, and client data.
Prepare daily, weekly, and monthly booking and revenue reports.
Analyze booking trends and suggest strategies to improve occupancy and revenue.
Team Coordination & Leadership
Guide junior booking or banquet coordination staff, if any.
Ensure SOP adherence and service standards are followed during events.
Skills & Competencies:
Strong client-handling and negotiation skills.
Excellent communication and coordination abilities.
Leadership mindset with problem-solving skills.
Ability to multitask and work under pressure during peak event days.
Good knowledge of banquet operations, hospitality service standards, and event execution.
Proficiency in MS Office, email communication, and booking/CRM software.
Qualification & Experience:
Graduate / Diploma in Hotel Management, Hospitality, or relevant field preferred.
3–6 years of experience in banquet booking, sales coordination, or event management.
Prior experience in a banquet hall or hotel banquet operations is mandatory.
Salary & Employment Terms:
Salary: ₹30,000 – ₹40,000 per month (finalized based on interview, experience, and skills).
Probation Period: 3 months.
Working Hours: Flexible shifts based on banquet and event requirements.
Weekly Off: As per management policy.

Conversion of inquiries into confirmed bookings.
Revenue generation and event occupancy.

Accuracy of BEOs and smooth event execution.
