We are looking for a Recruiter Virtual Assistant (Recruiter VA) to join our dynamic recruitment team. The ideal candidate will support the full recruitment process — from screening and outreach to interview coordination and performance reporting. This role is perfect for someone who is detail-oriented, proactive, and passionate about connecting great talent with the right opportunities.
Conduct initial phone/video screenings to assess communication skills, motivation, and readiness.
Follow up with candidates who start but do not complete applications.
Respond promptly to candidate inquiries to maintain engagement.
Reach out via phone, email, and text to schedule interviews.
Schedule interviews for the agency owner, sales manager, or district leadership.
Send calendar invites and reminders to both candidates and interviewers.
Prepare and share interview materials (job descriptions, role outlines, licensing information).
Track interview outcomes and update details in the recruitment system (Ideal Traits).
Support recruitment for:
Customer Service Representatives (CSR)
Sales Producers
Agents in Training (Protégé Program)
District Staff (Recruiters, Trainers, Admin, Marketing)
Ensure each pipeline is active and progressing weekly.
Maintain contact with top candidates for future hiring needs.
Assist with university or career fair coordination (Handshake, SJSU, SCU, etc., if directed).
Keep a warm pool of potential Protégé and licensed candidates for district expansion.
Provide weekly reports on candidate activity including:
Applications received
Screens conducted
Interviews booked
Hires made
Track time-to-hire and identify process bottlenecks.
Recommend improvements to job postings, outreach, and screening practices.
Minimum 1–2 years of experience in recruitment coordination or virtual recruiting.
Strong communication and follow-up skills.
Proficiency in using CRM/ATS tools and managing candidate pipelines.
Ability to handle end-to-end hiring tasks — screening, scheduling, and reporting.
Excellent English communication and a professional phone presence.
Highly organized, proactive, and target-driven with strong attention to detail.
Work Schedule: 5 Days a Week
Shifts: Rotational (Start between 4:00 PM – 10:00 PM)
Work Duration: 10 hours per day
