1. Front Desk & Reception Management
Greet and welcome visitors, clients, and employees in a warm and professional manner.
Ensure clear, polite, and effective communication while handling inquiries and requests.
Maintain a neat, organized, and presentable reception area at all times.
Manage visitor and employees entry and exit logs and ensure adherence to security and access protocols.
2. Communication & Coordination
Handle general correspondence efficiently.
Coordinate with internal teams to facilitate visitor meetings and appointments.
Manage conference room scheduling and assist in organizing internal meetings.
3. Courier & Administrative Support
Receive, record, and dispatch couriers and parcels accurately.
Maintain records of incoming and outgoing documents.
Support day-to-day administrative tasks to ensure smooth office functioning.
4. Inventory & Vendor Management
Monitor stock of office supplies, stationery, and pantry items.
Raise purchase requests and coordinate timely replenishment.
Liaise with vendors for AMC, repairs, and maintenance work.
Follow up to ensure timely completion of vendor services.
5. HR & Onboarding Support
Assist HR during new employee onboarding processes.
Arrange welcome kits, desk allocation, biometric and lobby access.
Coordinate lunch, bouquets, or other onboarding requirements.
6. Housekeeping & Facility Supervision
Supervise housekeeping staff to maintain cleanliness and hygiene standards.
Prepare daily, weekly, and monthly cleaning schedules and track execution.
Conduct routine inspections of cabins, meeting rooms, restrooms, and common areas.
Ensure availability of cleaning materials and consumables.
Escalate maintenance or facility issues to the concerned service providers.
7. Records & Compliance
Maintain administrative files, attendance logs, and other office records.
Ensure adherence to company policies related to front desk and facilities.
