Role Purpose
The Front Desk Executive is responsible for welcoming patients, managing appointments, and ensuring a smooth, reassuring, and professional front-desk experience.
This role requires emotional intelligence, clear communication, and calm execution, especially in a high-footfall clinical environment.
Key Responsibilities
1. Patient Reception & Experience
Greet patients and visitors warmly, politely, and professionally
Ensure patients feel comfortable, informed, and guided at every step
Handle patient queries with patience, empathy, and clarity
Maintain a calm and courteous demeanor, even during busy hours
2. Appointment & Scheduling Management
Schedule, confirm, reschedule, and manage patient appointments accurately
Coordinate walk-ins and ensure smooth patient flow
Inform patients clearly about consultation timings, waiting periods, and next steps
3. Front Desk Operations
Manage patient check-in and check-out processes
Maintain accurate patient records and appointment data in the system
Assist with billing coordination, receipts, and basic payment handling
Ensure the reception area is clean, organized, and brand-compliant
4. Communication & Coordination
Answer phone calls, WhatsApp messages, and emails professionally
Coordinate with doctors, counselors, and internal teams for patient flow
Escalate patient concerns to the Front Desk Manager or Clinic Manager when required
5. Discipline, Confidentiality & Compliance
Maintain strict patient confidentiality and data privacy
Follow clinic SOPs, dress code, grooming, and professional conduct standards
Ensure punctuality, accuracy, and adherence to assigned shifts

Qualifications & Experience
Education: Graduate / Diploma (any stream)
Experience:
1–3 years in front desk / receptionist / customer service role
Clinic, hospital, wellness, or hospitality experience preferred
Comfortable using computers, scheduling software, and basic MS Office
Good command of English and local language(s)
