Documentation & Compliance
• Prepare, verify, and process all air and sea freight documentation, including airway bills (AWB), bills of lading (B/L), export/import declarations, invoices, packing lists, certificates of origin, etc.
• Ensure documentation compliance with local and international trade regulations and customs requirements.
• Coordinate with customs brokerage teams to facilitate clearance and resolve documentation discrepancies.
Communication & Coordination
• Communicate proactively with customers, carriers (airlines, shipping lines), and internal teams (operations, sales, customs) to gather and share shipment details.
• Respond to customer queries regarding shipment status, ETA/ETD, missing documentation, and special requirements in a timely and professional manner.
• Act as a point of contact for updates, delays, and delivery confirmations.
Daily Status Reporting (DSR)
• Update Daily Status Reports (DSR) with key information such as shipment milestones, document submissions, delivery updates, customs status, carrier updates, and customer communications.
• Ensure DSR accuracy to support operational planning and management decision-making.
• Highlight exceptions or issues in reports and escalate appropriately.
System & Record Management
• Maintain accurate data entry in internal systems (TMS/CRM/ERP) for shipments and documentation.
• Archive all documentation properly for audit readiness and reference.
• Support the IT team where needed for tracking systems and reporting tools.
Customer Service & Support
• Deliver excellent customer service with a focus on reliability and responsiveness.
• Alert customers to documentation requirements and potential holds or compliance issues.
Experience:
• Prior experience (1–3 years) in freight forwarding operations, documentation, or logistics is preferred.
• Knowledge of air/sea freight documentation, customs procedures, and international trade terms.
