Job Description for HR 1. Hotel Relationship Management HR Hiring Document | Sales Manager • Build and maintain strong relationships with luxury hotels, resorts, palace properties, boutique hotels, and destination wedding venues across India and overseas wedding destinations wherever required. • Coordinate regularly with hotel sales, revenue, reservations, banquet, F&B;, finance, and operations teams. • Maintain updated hotel contact lists, rate sheets, room inventory details, venue details, meal package details, inclusions, exclusions, and contracting terms. 2. Client Show Rounds & Recce Coordination • Travel with clients for hotel inspections, site visits, venue recces, and destination wedding show rounds. • Present hotels professionally to clients, explaining room categories, venues, event flow possibilities, logistics, guest experience, and wedding feasibility. • Brief hotels before every client visit and ensure the hotel team is fully prepared for a premium recce experience. 3. Proposal Collection & Negotiation • Collect hotel proposals for weddings, events, and group bookings. • Negotiate room rates, meal packages, venue rentals, minimum guarantees, check-in/check-out terms, cancellation clauses, payment schedules, upgrades, hospitality desks, vendor permissions, and event access timings. • Prepare clear hotel comparison summaries for internal management review and client presentation. 4. Hotel Contracting & Documentation • Coordinate hotel contracts, proforma invoices, payment terms, GST details, event terms, rooming requirements, and billing clauses. • Ensure all commercial discussions, negotiated terms, and approvals are documented clearly over email. • Track hotel advances, payment due dates, room release dates, cut-off dates, contract deadlines, and pending points. 5. Sales Support & Lead Management • Support wedding lead conversion by identifying suitable hotels as per client budget, guest count, destination preference, event style, and logistics requirements. • Maintain lead trackers, hotel option sheets, client follow-up reports, and sales pipeline reports. • Assist the management team with professional proposals and destination-wise hotel recommendations. 6. Billing & Settlement Coordination • Coordinate with hotels and internal teams for final billing, invoices, extras, credit notes, refunds, commissions, and closure statements. • Follow up with hotel finance teams for billing corrections, pending invoices, commission releases, and final settlement closure. • Ensure all hotel-related financial matters are tracked until completion. 7. Reporting & Excel Work • Prepare and maintain Excel sheets for hotel comparison, room inventory, proposal summaries, billing trackers, lead status, and sales reports. • Share regular management updates on pending proposals, negotiation status, client visits, follow-ups, and closure timelines. • Use structured reporting formats to ensure nothing is missed during client, hotel, or finance follow-ups.
