EVENT MANAGER – JOB DESCRIPTION

About the Role

We are looking for an energetic, organised and responsible Event Manager to manage the end-to-end execution of birthday parties, baby showers, anniversaries and other celebrations.

The Event Manager will be responsible for taking confirmed bookings from the Sales Team and ensuring that every event is planned and executed smoothly, on time and according to the client's approved requirements.

The ideal candidate should be comfortable managing teams, vendors, clients and multiple events simultaneously and should be able to handle last-minute challenges calmly and professionally.

Key Responsibilities

1. Event Planning & Preparation

• Review confirmed bookings and understand all client requirements.

• Prepare detailed event execution plans.

• Plan manpower, materials, transportation and setup schedules.

• Ensure all required décor materials, props and equipment are arranged before the event.

• Conduct pre-event checks to avoid last-minute issues.

2. Team Management

• Allocate responsibilities to decorators, helpers and event staff.

• Brief the team before each event.

• Ensure the team reaches the venue on time.

• Monitor team performance and productivity.

• Maintain discipline, professionalism and good communication within the team.

3. Event Setup & Execution

• Supervise balloon décor and event setup at the venue.

• Ensure the final setup matches the approved design and quotation.

• Coordinate photography, games, activities, hosts and other event services.

• Ensure the event is ready before the client's scheduled time.

• Manage the event from setup through completion and dismantling.

4. Client Coordination

• Act as the primary operational contact for the client on event day.

• Communicate professionally with clients and venue teams.

• Understand and address reasonable last-minute requirements.

• Keep clients updated about setup progress when required.

• Handle complaints and unexpected situations calmly and professionally.

Candidate Requirements

We are looking for someone who:

• Has 2–4 years of experience in event management, hospitality or a similar role.

• Has excellent communication and interpersonal skills.

• Is highly organised and detail-oriented.

• Can manage multiple events and teams simultaneously.

• Has strong problem-solving skills.

• Can handle pressure and last-minute changes.

• Is comfortable coordinating with clients and vendors.

• Is willing to work on weekends and holidays when events are scheduled.

• Is comfortable travelling to different venues across Bangalore.

• Has basic knowledge of WhatsApp, Google Sheets/Excel and other digital tools.

• Has a genuine interest in events and celebrations.

The Event Manager will be evaluated on:

• On-time event setup

• Quality of event execution

• Number of operational complaints

• Team punctuality and performance

• Material/equipment management

• Vendor coordination

• Accuracy of event handover
