Position-Sales coordinator

Job Location- Andheri & Vasai

Working Days & Time-Monday- saturday(9am-6pm)

Major Duties & Responsibilities

• Receive and process customer Purchase Orders and Sales Orders.

• Verify product code, specification, quantity, price, delivery schedule and payment terms. Enter and maintain order details in ERP.

• Monitor open orders and ensure timely execution.

• Coordinate with Planning and Production for customer delivery commitments.

• Follow up on pending orders and communicate delays to customers.

• Coordinate dispatch planning with Production, Stores and Logistics.

• Share dispatch schedules and delivery updates with customers.

• Ensure required documents are available before dispatch.

• Monitor pending and overdue deliveries.

• Coordinate COA, COC and other customer-specific documents, wherever applicable.

• Ensure customer-specific packaging, labelling and documentation requirements are followed.

• Maintain proper records of customer communications and documents.

• Coordinate with Accounts for invoicing and billing-related issues.

• Support preparation of Sales Orders, E-Invoices and E-Way Bills.

• Verify pricing, product codes and commercial terms.

• Follow up on billing discrepancies.

• Acknowledge customer complaints within 24 hours.

• Coordinate with Quality and concerned departments for investigation and closure.

• Follow up for NCR, CAPA and other corrective actions.

• Maintain complaint status and communicate updates to customers.

• Maintain customer-wise order status.

• Prepare order booking, pending order, dispatch and billing MIS.

• Submit monthly reports to management.

• Highlight delays, shortages and customer-specific issues.

• Follow applicable requirements of ISO 15378:2017 (GMP) and ISO 13485.

• Maintain required records and documentation.

• Support customer and certification audits.

• Ensure compliance with applicable QMS procedures.
